Job Description

The Executive Assistant (EA) will provide high-level administrative and operational support across multiple businesses and personal initiatives. This role requires exceptional organization, attention to detail, and the ability to manage priorities in a fast-paced, remote-first environment. The EA will oversee communications, scheduling, payroll, bookkeeping, property support, and special projects.

Requirements

Key Responsibilities

- Manage email inboxes, communication, and scheduling across multiple entities.
- Maintain task management system (Notion) and track deliverables.
- Provide daily updates and weekly cashflow/credit card reports.
- Run payroll, handle bookkeeping, and manage payables/receivables.
- Coordinate vendor relationships, travel, events, and property maintenance.
- Oversee subscription renewals, compliance dates, and tax preparation.
- Renew real estate licenses, coordinate PDP submissions, and manage recurring personal tasks (pet supplies, appointments).

Qualifications

- Must have experience in Executive Assistant, Virtual Assistant, operations, or administrative management roles, preferably 3 years or more.
- Bachelor’s degree or equivalent post-secondary education preferred.
- Strong technical skills (Microsoft Office Suite, Notion, KEAP CRM, cloud tools).
- Experience with payroll, bookkeeping, and financial reporting.
- Excellent communication, discretion, and problem-solving abilities.

Outlook 365, Gmail Workspace, Notion, KEAP CRM, Microsoft Office Suite, Citrix ShareFile, RealVNC, Abbyy PDF FineReader, Sophos, Malwarebytes, Zoom, VPN tools.

This role is best suited for a highly organized, tech-savvy professional who thrives in a remote-first, dynamic environment. The EA will be integral in ensuring smooth day-to-day operations, timely execution of deliverables, and proactive support for both personal and business initiatives. For candidates who may feel less confident using a second language in phone communication, we provide an adjustment period to help them gradually adapt.
